Solution Overview

The solution allows to manage Actual Costs, representing Labor expenses spent on Work Items, such as User Stories, Bugs, Features, Epics and Portfolio Epics.

Costs can be managed using one of the following approach:

  • manually created or imported from another system.
  • manually created or imported to lower-level items (User Stories, Bugs, Features, Epics, Portfolio Epics) and rolled up to the higher level work items.

There are the following fields are available on Costs:

  • Actuals – represent the Total Costs of an item. It can be entered manually, calculated considering Costs of child Work Items costs, or based on Time Record Costs. Calculated as CapEx Actuals + OpEx Actuals.
  • CapEx Actuals – represent the Total CapEx Costs of an item.
  • OpEx Actuals – represent the Total OpEx Costs of an item.
  • Run Actuals – represent the Total Run Costs of an item.
  • Grow Actuals – represent the Total Grow Costs of an item. Calculated as CapEx Actuals + OpEx Actuals - Run Actuals.
  • CapEx (Percentage) – It's equal to CapEx Actuals / Actuals * 100%
  • OpEx (Percentage) – It's equal to OpEx Actuals / Actuals * 100%
  • Run (Percentage) – It's equal to Run Actuals / Actuals * 100%
  • Grow (Percentage) – It's equal to Grow Actuals / Actuals * 100%

Note 1: During the solution installation you'll have to define which work item types (User Stories, Bugs, Features, Epics and/or Portfolio Epics) you will be creating/importing Costs for. Please make sure you select all the work items needed in the hierarchy. For example, if you select User Stories/Bugs and Portfolio Epics, you also need to choose Features and Epics.

Note 2: You should only connect Costs to the lowest level of work items hierarchy.

Note: Bugs and Tasks that have a parent User Story won't have respective Costs, as their Cost is considered in a parent User Story.

The solution rules will be run on Saturdays and Sundays to process all the Costs and not overload the system during working hours.
