The solution calculates project Actual Costs based on % of actual allocation (% of US effort completed on a project relatively to effort completed on all projects by a team) and project Forecasted cost based on planned Work Allocations, as well as blended Team Rate.

A Team has a Rate, describing a blended rate of a team per day.
A Project Cost records, generated on a weekly basis and showing the actual costs of a project for that week as well as forecasted cost.

Rates and Costs are always kept in Budgeting project (we define the ID in a rule), which is shared with only people, who should have access to budgeting information.

Create Team Rate when Team is created or updated with a  tag

The rule generates a Rate record for a team, when it is created or when any tag is added (for the first time Rate generation) with the following parameters:

  • Name = [Team Name] Team Daily Rate
  • Amount = 0 (should be set manually for each team)
  • Project = Budgeting

Note: After all the existing in the system teams have rates defined, the rule can be updated to only be triggered on a team creation (not on an update with tag anymore).

Calculate Project Actual cost on a weekly basis

The rule calculates Actual Cost of a project on a weekly basis, using the following logic:

  1. Get Effort completed (User Stories) by each Team in total during the last week.
  2. Calculate a % of effort completed for each project (for each team separately).
  3. Calculate Project Cost = % of Effort Completed for this project * Weekly Team Rate (= Amount * 5)

Calculate Project Forecasted Cost on a weekly basis

The rule calculates Forecasted Cost of a project based on Team Work Allocations.

  1. Get all work allocations for this project
  2. Calculate the number of days left on each work allocation (excluding weekends)
  3. Calculate Forecasted Cost = Number of days * Allocation %  * Dayly Team Rate (= Amount)
